Administrative Assistant Manager

AZB Automotive is seeking a highly organized and detail-oriented Administrative Assistant Manager. The successful candidate will be responsible for providing administrative support to ensure efficient operation of the office. | Key Responsibilities: | • Provide comprehensive administrative support to the Management Team and ensure smooth daily office operations. | • Manage office administration activities, including organizing procedures, controlling correspondence, maintaining filing systems, and ensuring proper documentation. | • Coordinate office supplies, equipment maintenance, facility requirements, and service requests with vendors and suppliers. | • Review and process office supply requisitions and monitor inventory levels to ensure availability of necessary resources. | • Schedule and coordinate meetings, appointments, conferences, and management activities. | • Prepare professional reports, presentations, memos, letters, and other business documents as required. | • Maintain and update company databases, records, files, licenses, permits, and administrative documentation. | • Handle company license-related matters, including trade license renewals, amendments, activity updates, and coordination with relevant authorities. | • Manage company registrations and administrative requirements through UAE government portals and systems. | • Coordinate with JAFZA and other free zone authorities for company-related matters, renewals, approvals, permits, and documentation. | • Maintain knowledge of UAE government procedures, regulations, and online platforms related to company administration and compliance. | • Manage employee medical insurance matters, including policy renewals, additions/deletions of employees, claims coordination, and communication with insurance providers. | • Manage company vehicle-related administrative tasks, including vehicle insurance renewals, Mulkiya renewals, registration documentation, and coordination with RTA/insurance providers. | • Maintain accurate records of company vehicles, insurance policies, licenses, certificates, and renewal schedules. | • Support HR-related activities, including employee onboarding, offboarding, visa-related documentation, and coordination with relevant departments. | • Handle incoming and outgoing communications, including emails, phone calls, and official correspondence. | • Liaise with vendors, suppliers, government authorities, insurance companies, and external service providers. | • Assist the Management Team with daily administrative tasks, follow-ups, and special projects. | • Ensure a clean, safe, organized, and efficient working environment for all employees. | • Maintain confidentiality of company information and employee records. | • Perform any other duties and responsibilities assigned by the Management. | Qualifications & Skills: | • Bachelor’s degree in Commerce, Business Administration (Management), or any related field. | • Minimum experience in office administration, executive support, or administrative management roles (UAE experience preferred). | • Strong knowledge of UAE government systems, online portals, and administrative procedures. | • Experience dealing with UAE authorities such as JAFZA, DED/DET, RTA, GDRFA, MOHRE, insurance providers, and other relevant government entities is preferred. | • Knowledge of trade license renewal, company amendments, permits, approvals, and compliance requirements. | • Experience handling vehicle registration, Mulkiya renewal, insurance policies, and company documentation. | • Proficient in Microsoft Office applications, including MS Word, Excel, Outlook, and Adobe Acrobat. | • Excellent written and verbal communication skills in English. | • Strong organizational skills with the ability to prioritize tasks and manage multiple responsibilities. | • Professional, friendly, and service-oriented attitude with excellent interpersonal skills. | • Strong problem-solving abilities and attention to detail. | • Ability to work independently as well as collaboratively within a team. | • Self-motivated, adaptable, and capable of working in a fast-paced business environment. | • High level of professionalism, confidentiality, and commitment to supporting business operations.
