Administrative Assistant (Part-time)

Job Overview

We are looking for an organized Administrative Assistant to help keep our day-to-day operations running smoothly. The ideal candidate is reliable and has strong communication and organizational skills.
Responsibilities include:
Making outbound calls and answering inbound phone calls.
Assisting with hiring administration, including tracking applicants, scheduling interviews, and entering data.
Data entry and updating records.

Responsibilities

  • Manage front desk duties, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
  • Perform data entry tasks accurately using Microsoft Office applications, Google Workspace, and QuickBooks for bookkeeping and record-keeping
  • Organize and maintain filing systems—both digital and physical—to ensure easy retrieval of documents
  • Support scheduling appointments, meetings, and calendar management for team members
  • Assist with clerical tasks such as proofreading documents, preparing correspondence, and managing incoming/outgoing mail
  • Provide customer support by responding to inquiries promptly and professionally via phone or email
  • Maintain office supplies inventory, coordinate with vendors as needed, and ensure the office environment remains organized and efficient

Requirements

  • Proven office experience with strong organizational skills and attention to detail
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and basic computer skills
  • Experience with data entry, filing systems, and clerical tasks in a professional setting
  • Familiarity with QuickBooks or similar bookkeeping software is preferred
  • Excellent customer service skills along with strong phone etiquette for handling multi-line phone systems
  • Previous experience working in a medical or dental office environment is a plus; dental receptionist or dental office experience highly valued
  • Ability to type quickly with high accuracy; proofreading skills are essential
  • Strong organizational skills to manage multiple priorities efficiently
  • Prior administrative experience in a healthcare setting is advantageous but not required
  • Demonstrated ability to support team members effectively while maintaining confidentiality
