Job DescriptionOrganization Unit PurposeCorporate & Institutional Banking respectively cater to the requirements of Medium Corporates, Multinational Companies and High Net worth Individuals, whilst contributing to the Bank’s growth and profitability.Job PurposeTo provide a complete range of administrative support services to Group Co-Head and other Wholesale Banking Units.Job ContentPerforming administrative duties for Group C&IB CB Management:Provide a complete range of executive service to ensure efficient and effective communication and action. Observe confidential procedures and register/track accountable or statutory documentation to ensure appropriate level of confidentiality security and control. Act as point of interface with senior heads. Plan and organize travel arrangements for Group Co-head and other senior staff. Independently handle administrative problems/issues, diary management. Review effectiveness of the departmental/administrative procedures/practices to recommend and implement improvements where need is identified. Coordinate department meetings/conferences and other events in a time and cost-effective way. General correspondence for the unit. Establish, Update, and Maintain records and filing systems. Office upkeep and arrange for the operation of equipment to ensure efficient and effective functioning of the department. Providing a complete range of secretarial and administrative support services to the Group C&IB CB team. Settling new joiners - workstation, IT Assets, Extension number, Login ID and folder access. Carrying out all P2P requests for the Group C&IB CB team (IT order, other requirements, Pantry & Stationary items, Business card requests)Processing invoices from all the teams on timely basis and submitting in VIMS for payment with the LPO and receipt generated. Coordination with HR in getting in the third-party consultants onboarded and the set-up. Initiation of position approval requests - Promotion, Replacements, New Hire/Position, Transfer Initiation for the Group C&IB CB team. Raising Logical Security Requests/Identity and Remedy requests on behalf of the staff whenever advised. Arranging meetings and external vendors and agents and coordinated with Various Departments for meeting arrangements. Organizing and assisting for events for the Group C&IB CB team. Sending out various communication and any other essential emails to the entire team. Ensuring functions of the department equipment and ensure efficient and cost-effective execution. Support the team on preparation of Committees:Coordination and consolidation of all the memos and had send it to the relevant Dept/team. Maintain records and filing system.
