Position Summary The Administrative Office Support Professional – Operations is responsible for providing comprehensive administrative and operational support to multiple departments. This role requires exceptional organizational skills, attention to detail, strong communication abilities, and the capacity to manage multiple priorities in a fast-paced remote work environment. The ideal candidate is self-motivated, dependable, resourceful, and capable of maintaining high standards of professionalism while supporting executives, managers, and cross-functional teams across the MENA region. Key Responsibilities Administrative Support Provide comprehensive administrative assistance to operations managers and leadership teams. Manage calendars, schedule meetings, appointments, and virtual conferences across multiple time zones. Prepare meeting agendas, record meeting minutes, and follow up on assigned action items. Organize and maintain digital filing systems and ensure accurate document management. Draft, edit, proofread, and format reports, presentations, correspondence, and operational documents. Handle confidential information with professionalism and discretion. Operations Coordination Support daily operational activities and assist in improving workflow efficiency. Coordinate internal communication between departments and external stakeholders. Monitor operational tasks and ensure deadlines are met. Assist with project coordination and progress tracking. Maintain operational records and update internal databases. Prepare operational reports and performance summaries for management. Communication & Customer Support Respond promptly and professionally to emails, phone calls, and internal communications. Serve as the first point of contact for administrative inquiries. Coordinate communication with vendors, contractors, clients, and business partners. Support customer and stakeholder communications when required. Ensure professional and consistent communication standards are maintained. Documentation & Record Management Create, update, and maintain company documentation. Organize digital records for easy retrieval and compliance. Maintain accurate operational logs, reports, and administrative records. Ensure document version control and adherence to company procedures. Scheduling & Coordination Coordinate virtual meetings, webinars, and internal events. Arrange travel plans, itineraries, and accommodation when necessary. Manage shared calendars and scheduling conflicts efficiently. Coordinate onboarding schedules and administrative support for new employees. Data Management & Reporting Collect, verify, and enter operational data accurately. Generate weekly and monthly administrative reports. Assist with KPI tracking and operational performance reporting. Analyze administrative processes and recommend improvements. Process Improvement Identify opportunities to streamline administrative workflows. Support implementation of new operational procedures. Assist with documentation of standard operating procedures (SOPs). Promote efficiency through the effective use of digital collaboration tools. Required Qualifications Bachelor's degree in Business Administration, Office Management, Operations Management, or a related field. Minimum of 2 years of experience in administrative support, office administration, operations coordination, or executive assistance. Experience working in a remote or distributed team environment is preferred. Excellent organizational and time-management skills. Strong written and verbal communication skills in English. Arabic language proficiency is considered an advantage. High level of professionalism and confidentiality. Strong analytical and problem-solving abilities.
