Customer Service Coordinator

Overview & Responsibilities We are seeking a highly organized and proactive Customer Service Coordinator (Export & Logistics) to plan, coordinate, and execute the efficient international traffic movement of finished goods sold to overseas customers. Serving as a critical link between international clients, internal teams, and global carriers, you will ensure all shipments meet scheduled requirements, compliance regulations, and cost standards. This role is also responsible for planning and coordinating the daily activities of our Service Parts export shipping operations. Key Responsibilities Customer & Order Coordination - Order Review: Partner directly with Service Parts Customer Service Representatives to review all export order requirements for absolute completeness and accuracy. - Client Liaison: Obtain precise export shipping instructions and all other necessary documentation directly from international customers. - Logistics Communications: Seamlessly coordinate shipment information between customers, freight forwarders, and shipping carriers via email, fax, or phone. - Invoicing Support: Supply all shipping papers and related documents required to complete shipments and correctly render all Elliott invoices in compliance with various export regulations, ensuring complete final billings are made. Export Planning & Logistics Operations - Scheduling & Routing: Plan and schedule daily export customer shipping requirements, routing shipments via the most economical mode. - Forwarder & Carrier Management: Coordinate with freight forwarders across all phases of export shipments, including obtaining competitive freight quotations from both freight forwarders and shipping carriers, and verifying that all goods are properly insured. - Tracking & Compliance: Monitor the transit of each shipment to ensure delivery schedules are met, while maintaining current, up-to-date knowledge of international export regulations and practices. - Hazmat Documentation: Prepare specialized hazardous material shipping documentation strictly as required. Financial & Internal Collaboration - Financial Compliance: Interpret all Letter of Credit documents to guarantee complete correctness. - Banking Records: Complete all necessary documentation required by banks to ensure Elliott is paid for goods, and promptly forward these to the correct financial institution. - Internal Alignment: Work closely with the salary bargaining transportation clerk to ensure all shipping methods and requirements are perfectly met per customer purchase order (PO) requirements. Performance & Task Management - Demonstrate strong analytical, problem-solving, and data-charting skills to optimize workflows. - Act as a self-starter with a proven ability to plan, organize, and coordinate a variety of activities simultaneously under short timeframes. Qualifications - Export Documentation Expertise: Proven experience in international shipping, handling export shipping functions, and managing specialized export documentation. - Industry Experience: Direct experience working closely with freight forwarders, shipping carriers, and managing international shipping requirements (including Letters of Credit). - Technical Proficiency: Strong computer skills and professional software proficiency in Microsoft Office. - Communication Skills: Exceptional written and oral communication skills, with the ability to convey complex logistical data clearly to diverse stakeholders. Preferred Attributes - Proactive Mindset: A self-starter with a hands‑on, \"get things done\" attitude who is well-organized and comfortable handling multiple tasks in parallel. - Environmental Flexibility: Equally comfortable working in a professional office environment and stepping onto the production floor when needed. Working Conditions - Environment: This role is based on‑site, requiring regular time spent in a warehouse environment. - Safety Requirements: Personal Protective Equipment (PPE) may be required when working in designated warehouse areas. - Schedule Flexibility: Occasional overtime or weekend work may be required to successfully meet strict production or installation schedules.
