You will play a key role in ensuring smooth day-to-day administrative operations while gaining valuable experience across multiple business functions.

Position Summary The Entry-Level Professional – Operations Admin &

  • Office Support is responsible for providing administrative and operational support to internal teams. The successful candidate will help coordinate daily activities, maintain records, assist with documentation, support scheduling, and contribute to improving operational processes.

Working remotely, this position requires excellent organizational skills, strong communication abilities, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities

Administrative Support

  • Provide day-to-day administrative assistance to various departments.
  • Prepare, organize, and maintain digital files, records, and documentation.
  • Draft correspondence, reports, meeting notes, and internal documents.
  • Assist with document formatting, proofreading, and data entry.
  • Maintain accurate electronic filing systems and shared folders.

Operations Coordination

  • Support daily operational workflows and administrative processes.
  • Track assigned tasks and ensure timely completion.
  • Assist with project coordination and follow-up on action items.
  • Help maintain operational procedures and internal documentation.
  • Monitor administrative requests and ensure they are handled efficiently.

Calendar &
  • Meeting Support

  • Schedule meetings, appointments, and virtual events.
  • Coordinate meeting agendas and distribute supporting materials.
  • Record meeting minutes and track follow-up actions.
  • Assist with time zone coordination for regional and international meetings.

Communication &
  • Team Support

  • Serve as a professional point of contact for internal communications.
  • Respond to administrative inquiries promptly and professionally.
  • Coordinate with cross-functional teams to ensure smooth workflow.
  • Support onboarding activities for new employees when required.

Data &
  • Reporting

  • Maintain databases and operational trackers.
  • Generate routine administrative reports.
  • Monitor deadlines and update project status reports.
  • Ensure data accuracy and confidentiality.

Office &
  • Process Support

  • Assist in improving administrative workflows and operational efficiency.
  • Help develop standardized templates and documentation.
  • Support procurement requests, expense tracking, and administrative records where applicable.
  • Perform additional administrative duties as assigned.

Qualifications

Required

  • Bachelor's degree or diploma in Business Administration, Management, Operations, Office Administration, or a related field (or equivalent practical experience).
  • 0–2 years of professional experience.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills in English.
  • High attention to detail and accuracy.
  • Ability to manage multiple tasks simultaneously.
  • Strong problem-solving and critical-thinking skills.
  • Ability to work independently in a remote environment.
  • Positive attitude and willingness to learn.

Technical Skills

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Familiarity with Google Workspace (Docs, Sheets, Drive, Meet).
  • Comfortable using video conferencing platforms.
  • Experience with project management or collaboration tools (such as Trello, Asana, ClickUp, Monday.com, or similar) is an advantage.
  • Ability to quickly learn new software and internal systems.

Preferred Qualifications

  • Internship or administrative experience is a plus.
  • Experience supporting remote teams is desirable.
