Our client is a globally operating manufacturer of measurement, testing, and monitoring equipment for industrial applications. To support the daily operations of our client's office, we are currently seeking an Executive Assistant (m/f/d). In this role, you will provide administrative and organizational support to the team, ensuring smooth day-to-day office operations while coordinating travel, managing schedules, preparing presentations and supporting a variety of business activities.

Your duties and responsibilities will include:

  • Coordinate business travel arrangements, including flights, accommodation, airport transfers and visa applications where required
  • Prepare, edit, and format professional PowerPoint presentations based on input from the management team
  • Maintain and update Excel spreadsheets, tracking files, and reports, including data entry, basic formulas, pivot tables and simple macros
  • Manage calendars by scheduling internal and external meetings, coordinating appointments, booking meeting rooms and sending invitations
  • Provide day-to-day administrative support, including filing, scanning, printing, document preparation and office supply management
  • Handle incoming telephone calls, emails, and general correspondence in a professional and timely manner
  • Coordinate expense reports by collecting supporting documentation, reviewing completeness and preparing simple overviews in Excel
  • Liaise with external service providers, including travel agencies, hotels, couriers, and office suppliers, ensuring bookings and deliveries are completed efficiently
  • Support the wider team with general administrative tasks to ensure the efficient running of the office

To be successful in this role, you should have the following skills and experiences:

  • Minimum of 5 years of experience in an administrative, office support, or personal assistant role
  • Good working knowledge of Microsoft Office, particularly PowerPoint and Excel
  • Excellent organizational skills with the ability to prioritize tasks and manage multiple responsibilities effectively
  • Strong communication skills with a professional, service-oriented and proactive approach
  • High level of accuracy, reliability and attention to detail
  • Hands-on mindset with the flexibility to support different administrative tasks in a dynamic office environment
  • Ability to handle confidential information with discretion and professionalism
  • Fluency in English is mandatory; additional language skills are considered an advantage
