Role Summary

A private employer (Hedge Fund Manager) overseeing multiple businesses across the UK, UAE and BVI is seeking an experienced degree-educated, organised, discreet and reliable Executive Assistant / Personal Assistant / Executive Secretary to work within a fully remote framework.

You will work exclusively for the employer, managing business obligations, corporate compliance, logistics, and personal affairs.

Speaking Russian is an advantage.


KEY RESPONSIBILITIES

Business & Executive Support:

  • Manage personal and business calendars across multiple time zones and 4 entities.
  • Maintain a central corporate compliance calendar (licence renewals, VAT, tax filings, audits, insurance, banking, statutory filings).
  • Liaise with external legal, financial and corporate service providers.
  • Prepare board meetings & shareholders' meetings.
  • Prepare agendas, track action items, organise documents and escalate urgent matters.


Financial Administration:

  • Track and organise invoices, coordinate approvals & maintain expense reports.
  • Monitor recurring payments and subscriptions.
  • Coordinate with bookkeepers, accountants and auditors.
  • Ensure and track regulatory compliance deadlines across the U.K., the UAE and BVI (the British Virgin Islands).


Travel & Logistics:

  • Plan and book international travel, flights, visas and accommodation.
  • Track passport/visa expiries and manage complex itineraries cost-effectively.


Personal Assistance:

  • Manage personal bookings, household service coordination and administrative requests with strict confidentiality.


CANDIDATE PROFILE

Essential Requirements:

  • Proven experience as an EA/PA supporting senior executives, hedge fund managers, investors or family offices.
  • Degree-educated with excellent written/spoken English.
  • Speaking Russian will be advantageous.
  • Strong experience in calendar management, expenses & document administration.
  • Expert at creating and dealing with complex spreadsheets.
  • High tech proficiency (cloud document systems, spreadsheets, video conferencing).
  • Ability to work independently in a fully remote environment with absolute discretion.


Preferred Experience:

  • Background in hedge funds, private equity, wealth management or within any other financial services and high-profile institutions.
  • Speaking Russian (ideally, but by no means mandatory).
  • Familiarity with UK, UAE, or BVI corporate administration, tax/VAT calendars & multi-jurisdictional structures.
  • Anticipating, tracking and adhering to tax, VAT and any regulatory requirements across multiple jurisdictions.
  • Ensuring compliance.


Key Working Terms & Application
