The Projects and Services Specialist is responsible for the comprehensive coordination and administration of projects and services. This role ensures operational excellence by driving process standardization, maintaining rigorous documentation, and fostering continuous improvement within project management functions. The Specialist plays a critical role in supporting team objectives, ensuring adherence to project requirements, and delivering exceptional value to internal and external stakeholders. Operating within a structured framework of established workflows and quality controls, the incumbent is accountable for the precision of project data and metrics. This position reports directly to the Region Project Architect, with a dotted-line reporting relationship to the Projects and Services Directors for day-to-day operational guidance.

Roles and Responsibilities

  • Responsible for all aspects of opening and maintaining projects in SAP - Collaborate and work closely with ITO (Sales) team.
  • Assist with the testing, implementation and roll out of SAP for projects & services execution.
  • Work with managers to develop and maintain schedules.
  • PO requisition for services/materials. Manage goods receipts.
  • Ensure proper tax documentation is provided, and that SAP is correctly showing the taxes (where applicable).
  • Enter and maintain job information in GE Vernova Operations Systems.
  • R3 project handover meeting support to enable correct project structure, release, and execution.
  • Request invoices/credit notes, support with disputes resolution - Understand the IBS process for billing internal orders.
  • Complies invoicing package for Services T&M jobs – ensuring all needed documentation is provided to the customer.
  • Cross Check specifics requirements for project administrative closing - Run project through project closure (TECO) to make sure there are no outstanding issues (financial and project completion checks).
  • Support the team in updating and rectifying project metrics and defects to ensure full alignment with organizational KPIs.
  • Assist with requests to compile and share information with Customers, Finance, Credit Team, Auditors, etc.
  • Responsible for maintaining and triggering Billing and Rev Rec plans based on information from the SM/PM.
  • Customer set up in SAP.

Qualifications

  • 3 Years + in similar role.
  • 3 Years + Oil & Gas and/or Power Generation experience.
  • Experience in GE Vernova systems and processes – SAP, ServiceMax, Smartsheet, Salesforce.
  • Experience of managing small to medium sized projects.
  • Sound knowledge of regional suppliers and subcontractors.
  • Good communication skills – internally with other department and externally with customers and subcontractors.
  • Some technical knowledge in GE Vernova products.
  • Exceptionally strong customer service mindset.
  • Strong oral and written communication skills.
