Logistic Executive

JOB SUMMARY :

The Logistics Executive (Qatar/UAE based) is responsible for coordinating and executing day-today logistics activities to ensure the timely, safe, cost-effective, and compliant movement of project materials, equipment, spare parts, tools, and other cargo for Oil &

  • Gas, Offshore Pipeline, and Engineering projects. The position works closely with Project Management, Procurement, Operations, Warehouse, Finance, HSE, clients, freight forwarders, shipping lines, transporters, customs brokers, and other external stakeholders to ensure logistics activities are aligned with project schedules and operational requirements. The role requires strong knowledge of import and export procedures, customs clearance, freight forwarding, transportation, project cargo handling, shipping documentation, and logistics coordination.

ROLE AND RESPONSIBILITIES :

  1. PROJECT LOGISTICS &
    • SHIPMENT COORDINATION

  • Coordinate end-to-end logistics activities for project materials, equipment, tools, spare parts, and consumables.
  • Arrange domestic and international shipments by sea, air, road, and courier.
  • Coordinate shipment schedules according to project and site requirements.
  • Monitor cargo readiness, collection, transportation, customs clearance, and final delivery.
  • Coordinate urgent, critical, oversized, heavy, long-length, and project cargo movements.
  • Verify cargo dimensions, weight, packing requirements, lifting requirements, and transportation restrictions before shipment.
  • Coordinate with project teams to ensure materials are available according to project milestones.
  • Prepare and maintain shipment tracking reports and provide regular status updates.

  1. IMPORT &
    • EXPORT OPERATIONS

  • Coordinate import and export shipments in accordance with applicable customs and trade regulations.
  • Prepare and verify Commercial Invoices, Packing Lists, Bills of Lading, Air Waybills, Certificates of Origin, Delivery Orders, permits, and customs documentation.
  • Coordinate with customs brokers and relevant authorities for customs clearance.
  • Monitor customs clearance progress and resolve documentation or clearance issues.
  • Ensure proper classification, valuation, and supporting documentation for imported and exported goods.
  • Coordinate temporary import/export, re-export, repair and return, and project-related shipments, where applicable.

  1. FREIGHT FORWARDING &
    • TRANSPORTATION

  • Obtain and evaluate freight quotations from freight forwarders and transport providers.
  • Arrange bookings with shipping lines, airlines, freight forwarders, haulage companies, and transporters.
  • Monitor freight schedules, vessel/flight movements, transshipment arrangements, and delivery timelines.
  • Coordinate transportation arrangements for project cargo, including special transport requirements.
  • Follow up on detention, demurrage, storage, port, customs, and other logistics-related charges.
  • Escalate potential delays or additional costs to the Logistics Manager.

  1. WAREHOUSE &
    • CARGO COORDINATION

  • Coordinate with warehouse personnel for cargo receiving, storage, picking, packing, and dispatch.
  • Ensure cargo is properly identified, packed, labelled, and documented prior to shipment.
  • Coordinate cargo loading and unloading activities.
  • Verify cargo quantity and condition against shipping and warehouse documentation.
  • Assist with inventory reconciliation and investigation of cargo discrepancies.

  1. DOCUMENTATION &
    • COMPLIANCE

  • Maintain accurate and complete logistics records.
  • Ensure logistics documentation complies with company procedures, client requirements, customs regulations, and project requirements.
  • Maintain shipment files and supporting documents for audit purposes.
  • Ensure appropriate permits and approvals are obtained before shipment or delivery.
  • Support compliance with HSE requirements and dangerous goods transportation requirements, where applicable.

  1. VENDOR &
    • STAKEHOLDER COORDINATION

  • Coordinate with freight forwarders, shipping lines, transporters, customs brokers, warehouses, and other logistics service providers.
  • Liaise with Procurement and Finance regarding purchase orders, invoices, freight charges, and logistics-related payments.
  • Communicate shipment status and potential issues to Project Management and relevant stakeholders.
  • Follow up with vendors to ensure agreed service levels and delivery schedules are achieved.

  1. COST CONTROL &
    • REPORTING

  • Monitor freight and logistics costs against approved budgets and quotations.
  • Verify freight invoices against agreed rates and services rendered.
  • Identify discrepancies, additional charges, and potential cost leakages.
  • Prepare logistics reports, shipment status reports, and cost summaries.
  • Support initiatives to reduce freight, transportation, storage, detention, and demurrage costs.

QUALIFICATIONS AND EDUCATION REQUIREMENTS

  • Diploma or Bachelor’s Degree in Logistics, Supply Chain Management, Transportation, Business Administration, or a related discipline.
  • Professional logistics or supply chain certification is an advantage.
