The Gallery manages exhibitions, artist residencies, international sales, collector services and multidisciplinary cultural projects. As our collection and international activities continue to expand, we are strengthening our internal collections-management department to ensure the highest standards of documentation, preservation, logistics and inventory control. About the Role We are seeking a highly organised Senior Art Collections & Inventory Manager responsible for overseeing the complete lifecycle of artworks within the Gallery. The successful candidate will ensure every artwork is professionally documented, tracked, stored, transported, exhibited and delivered according to museum-quality standards. This position combines collection management, logistics coordination, registrar responsibilities and inventory control. Key Responsibilities Collection Management - Maintain the Gallery's complete artwork inventory. - Register all incoming and outgoing artworks. - Assign and manage inventory identification numbers. - Maintain digital and physical inventory records. - Monitor artwork locations in real time. - Manage inventory audits and reconciliation. Artwork Documentation - Prepare detailed artwork records. - Maintain provenance documentation. - Manage Certificates of Authenticity. - Archive invoices, contracts and ownership records. - Organise high-resolution photography. - Update catalogue information. - Maintain artist files. Registrar Responsibilities - Coordinate artwork movements. - Prepare loan documentation. - Monitor exhibition inventories. - Coordinate temporary imports and exports. - Maintain exhibition checklists. - Prepare condition reports. Logistics & Shipping - Coordinate international shipments. - Liaise with customs brokers. - Coordinate fine-art transport companies. - Arrange artwork insurance. - Supervise professional packing. - Monitor deliveries worldwide. Storage Management - Supervise artwork storage. - Monitor environmental conditions. - Coordinate conservation requirements. - Organise warehouse layouts. - Optimise storage capacity. - Maintain security procedures. Collection Care - Schedule condition inspections. - Coordinate conservation specialists. - Maintain handling procedures. - Supervise artwork installation. - Develop preventive conservation standards. Digital Asset Management - Manage collection databases. - Update inventory software. - Maintain image libraries. - Generate inventory reports. - Prepare management dashboards. - Improve collection workflows. Required Qualifications - Bachelor's degree. - Minimum 5–8 years' experience in gallery, museum, auction house or private collection management. - Experience managing professional artwork inventories. - Knowledge of registrar procedures. - Understanding of artwork handling standards. - Experience coordinating international shipping. - Strong organisational skills. - Advanced Excel skills. - Experience using collection-management software. - Excellent English. Strategic Importance This role will become the operational backbone of the Gallery. The successful candidate will contribute to building one of the most professionally managed private contemporary art inventories in the region.
