Senior Project Coordinator - Document Control
closeout activities The role will ensure that documents remain accurate traceable securely stored correctly classified and available to authorized stakeholders throughout the project lifecycle Working across Parsons teams consultants contractors and subcontractors the coordinator will enforce document numbering systems metadata requirements review workflows revision controls and records-retention procedures The position will also provide senior leadership with reporting on submittal status turnaround times overdue actions and information-management risks Key ResponsibilitiesEstablish and maintain document-control policies procedures workflows and governance standards across the program Develop document numbering structures classification systems metadata requirements and filing taxonomies Enforce standard operating procedures for Parsons teams consultants contractors and subcontractors Oversee the deployment configuration administration and continuous improvement of the Enterprise Document Management System Manage engineering drawings technical submittals correspondence contracts commercial records legal files and closeout documentation Ensure that all documents are registered reviewed distributed revised archived and retained according to approved procedures Monitor metadata accuracy revision status document ownership review cycles and approval workflows Maintain strict access controls for confidential restricted commercial contractual and legally sensitive project information Protect project data in accordance with client requirements Parsons policies and applicable data-privacy standards Lead and supervise document controllers supporting multiple infrastructure packages and project disciplines Allocate workloads set performance expectations review output quality and resolve document-processing backlogs Conduct routine quality audits to identify indexing errors duplicate records missing revisions incomplete metadata and filing inconsistencies Coordinate with engineering procurement commercial legal construction and project-controls teams to improve information flow Track engineering submittals requests for information technical reviews approvals transmittals and contract deliverables Produce document-status reports turnaround-time analysis overdue-action summaries and workflow performance dashboards Identify bottlenecks affecting technical reviews contractor submissions approvals and construction information release Support project handover by ensuring that final records as-built drawings operating manuals warranties and closeout files are complete Provide EDMS training procedural guidance and compliance support to project personnel and contractors Maintain a reliable audit trail for document revisions approvals transmittals downloads and access permissions Escalate significant information-management risks security breaches and repeated compliance failures to project leadership Bachelor's degree in Business Administration, Information Management, Engineering, or a related discipline.A high school diploma may be considered when supported by substantial relevant experience.Minimum 10 years of progressive experience in project coordination, document control, and records management.Demonstrated leadership experience on major construction, infrastructure, or mega-project programs.Advanced proficiency with EDMS platforms such as Aconex, ProjectWise, PMWeb, or comparable systems.Strong understanding of engineering drawings, design stages, technical submittals, and construction documentation.Experience managing document workflows from design development through procurement, construction, commissioning, and closeout.Detailed knowledge of revision control, document numbering, metadata standards, records retention, and audit requirements.Ability to manage sensitive commercial, contractual, technical, and legal information with strict confidentiality.Strong leadership skills for directing multinational document-control teams and contractor personnel.Exceptional organizational ability with consistent attention to accuracy, detail, and traceability.Excellent written and verbal English communication skills.Ability to work under demanding program schedules while maintaining rigid compliance standards.Willingness to relocate to and work full-time in the Tabuk region.Previous Saudi Arabian giga-project experience is highly desirable.Exposure to programs such as NEOM, Trojena, Oxagon, or Red Sea Global would be advantageous.
