Shipping Administrator & Inventory Control Coordinator
About the Role
We are seeking an experienced Shipping Administrator & Inventory Control Coordinator to manage the day-to-day flow of goods in and out of our facility. This role is responsible for coordinating domestic and international shipments, maintaining accurate inventory records, and ensuring all shipping documentation complies with carrier and customs requirements. The ideal candidate is detail-oriented, organized, and comfortable working in a fast-paced environment where accuracy directly impacts customer satisfaction and company costs.Key ResponsibilitiesShipping Administration
- Prepare, process, and verify shipping documents including bills of lading, packing slips, commercial invoices, and customs documentation
- Schedule and coordinate inbound and outbound shipments with carriers, freight forwarders, and couriers
- Obtain freight quotes, compare carrier rates, and select cost-effective shipping options
- Track shipments, resolve delivery delays or discrepancies, and communicate status updates to customers and internal teams
- Process and file claims for damaged, lost, or short shipments
- Maintain shipping records and ensure compliance with company policies and applicable regulations
- Maintain accurate inventory records in the ERP/WMS system, including receipts, transfers, adjustments, and cycle counts
- Perform regular cycle counts and assist with periodic physical inventory counts; investigate and reconcile variances
- Monitor stock levels and flag low inventory, overstock, slow-moving, or obsolete items
- Coordinate with purchasing and production teams to ensure material availability
- Ensure proper labeling, storage, and rotation of inventory (FIFO/FEFO as applicable)
- Generate inventory reports and support month-end and year-end reconciliation
- Minimum 4 years of experience in shipping administration, inventory control, or a related logistics/warehouse operations role
- Working knowledge of shipping documentation and procedures for domestic and international freight (LTL, FTL, courier, air, and ocean)
- Hands-on experience with ERP, WMS, or inventory management software (e.g., SAP, NetSuite, Oracle, Fishbowl, or similar)
- Proficiency in Microsoft Excel (lookups, pivot tables) and Microsoft Office
- Familiarity with customs documentation and cross-border shipping requirements is an asset
- Strong data-entry accuracy and attention to detail
- Excellent organizational and time-management skills with the ability to prioritize competing deadlines
- Strong written and verbal communication skills for working with carriers, vendors, and internal departments
- High school diploma required; post-secondary education in supply chain, logistics, or business administration is an asset
- Combination of office and warehouse environment
- Mon- Sat. Standard business hours, with occasional overtime during peak periods or inventory counts
