This is a temporary full-time position with an anticipated end date of July 2027. Job Summary The Total Rewards Coordinator is responsible for administering employee total rewards programs, including group benefits, leaves of absence, long-term disability (LTD), workers' compensation, bonus processing, and HRIS support. This role ensures the accurate and timely delivery of programs and services that support employee well-being, engagement, and retention. The Coordinator acts as a key resource for employees, managers, franchisees, and external providers, responding to inquiries and facilitating the resolution of benefits, leave, disability, and compensation-related matters, as applicable to their groups. They maintain accurate employee records, support compliance with legislative and company requirements, and coordinate processes related to employee accommodations and return-to-work programs. The role also contributes to payroll and LTD audits, reporting, onboarding initiatives, and continuous improvement projects that enhance the employee experience and operational effectiveness of the Human Resources function. In addition, the Coordinator will be involved in the Benefits Implementation Project. Essential Duties and Responsibilities Benefits Administration (Canada & U.S.): Administer group benefits for employees and franchisees, including enrolments, terminations, status changes, and claims support Maintain benefits data in HRIS, ensuring accuracy and proper integration with external vendor systems. Respond to benefits-related inquiries and communicate plan details and changes clearly and effectively. Support the Group Benefits annual renewal and open enrolment processes by coordinating data requirements, communications, and logistics. Prepare and submit information required to meet legislative requirements. Support the Employee Share Purchase Plan administration, including employee enquires as required. Reconcile and process invoices for benefits and other HR-related service providers. Disability, Leaves & Workers’ Compensation Administration: Coordinate Long-Term Disability (LTD) claims, including eligibility reviews, claim package administration, employee support, and carrier communication. Maintain accurate leave of absence, disability, and workplace accommodation records within Workday and related systems; conduct regular LTD audits to ensure data accuracy, compliance, and alignment with payroll and benefits administration. In partnership with HR Generalists, follow up on leaves of absence return dates and accommodation requests, as needed, for all leave types including illness, parental/maternity leave, etc. Support the administration of workers' compensation claims and coordinate required reporting, documentation, and communication with applicable boards and providers. Support return-to-work and accommodation processes in partnership with employees, managers, HR Generalists, and external stakeholders. Generate reports and monitor trends related to disability, leave, and workers' compensation programs to support compliance and continuous improvement. Compensation & Reporting Support: Prepare information and coordinate the processing of monthly and quarterly store bonus payments. Support compensation-related reviews, including store minimum wage updates. Contribute to bi-weekly payroll audits and generate HR reports as required. HRIS Support: Assist with HRIS maintenance, configuration updates, and data integrity tasks. Collaborate with HR and IT teams to troubleshoot and resolve system issues. Employee Experience & Communication: Manage assigned employee inquiries with a focus on timely, helpful, and employee-centric communication. Support onboarding and employee experience initiatives such as new hire orientations, wellness events, and goodwill gift coordination. Provide employment verification letters and other documentation as requested. Cross-Functional Collaboration & Projects: Participate in HR projects and committees, such as the social and wellness committees. Support continuous improvement initiatives related to total rewards and employee service delivery. Provide general administrative support to the HR team as needed. Provide backfill for Receptionist on lunch and/or days off. Qualification and Experience: Required: 1-2 years of administrative Human Resources experience including benefits administration. Graduate of a post-secondary program with an HR or Business focus Intermediate experience in Microsoft Word and Microsoft Excel (pivots, lookups, mail merges) Ability to work in a fast-paced, collaborative and results driven environment. Proven ability to manage confidential and sensitive information in a professional manner. Attention to detail, able to prioritize and have a sense of urgency. Take the initiative to identify and suggest solutions to issues with an understanding of employee impact. Excellent verbal and written communication skills. Preferred: Experience with workers’ compensation administration strongly preferred. Experience with Workday is an asset. Compensation: The targeted salary range for this position is $47,400-$55,000 annually.
