The Role

We are seeking an experienced Travel Consultant / VIP Itinerary Coordinator to design travel itineraries, manage reservations, coordinate VIP travel arrangements, and provide personalized support before and during each journey.

The ideal candidate is highly organized, resourceful, detail-oriented, and confident working with premium clients, hotels, airlines, transportation providers, tour operators, and international partners.

Key Responsibilities

  • Consult with clients to understand travel preferences, budgets, schedules, interests, and special requirements.
  • Design personalized domestic and international itineraries for leisure, business, family, group, and VIP travel.
  • Research and recommend suitable destinations, hotels, flights, restaurants, experiences, transportation, tours, and activities.
  • Coordinate hotel, airline, rail, transfer, chauffeur, dining, event, and activity reservations.
  • Manage VIP travel arrangements, including preferred rooms, airport transfers, special amenities, private experiences, and personalized requests.
  • Prepare detailed itineraries containing transportation, accommodation, activities, reservations, contact information, and important travel notes.
  • Monitor booking confirmations, payment deadlines, cancellation policies, travel documentation, and itinerary changes.
  • Communicate professionally with clients throughout the planning process and provide timely updates.
  • Coordinate with hotels, airlines, destination-management companies, travel agencies, concierge partners, and other service providers.
  • Handle last-minute changes, disruptions, cancellations, delays, and urgent client requests efficiently.
  • Maintain accurate client profiles, travel preferences, loyalty information, booking histories, and communication records.
  • Identify appropriate upgrades, premium services, packages, and additional experiences based on client preferences.
  • Support corporate travel programs, executive travel, group bookings, and special-event travel when required.
  • Monitor travel advisories, destination conditions, entry requirements, and relevant operational changes.
  • Prepare quotations, travel proposals, booking summaries, invoices, and other client documentation.
  • Follow up after trips to collect feedback, strengthen client relationships, and identify future travel opportunities.
  • Maintain strict confidentiality of client, itinerary, payment, passport, and personal information.
Requirements
  • Bachelorโ€™s degree or equivalent qualification in Travel & Tourism, Hospitality, Business Administration, or a related field is preferred.
  • 3+ years of professional experience in travel consulting, luxury travel, corporate travel, concierge services, or itinerary management is preferred.
  • Strong knowledge of international destinations, travel products, hospitality, transportation, and travel planning.
  • Excellent written and verbal English communication skills.
  • Strong itinerary-planning, research, organizational, and problem-solving abilities.
  • Proven ability to provide personalized service to VIP, executive, or high-value clients.
  • Strong attention to detail when managing bookings, schedules, documentation, and client preferences.
  • Experience with GDS, booking engines, travel-management systems, CRM platforms, or online travel tools.
  • Strong negotiation and supplier-management skills.
  • Commercial awareness with the ability to identify appropriate travel upgrades and additional services.
  • Ability to remain calm and resourceful when handling time-sensitive travel disruptions.
  • Strong knowledge of travel documentation, cancellation policies, and international travel procedures.
  • Knowledge of UAE and Middle Eastern luxury-travel markets is advantageous.
  • Additional languages are advantageous, particularly Arabic.
  • IATA, travel-management, tourism, or hospitality certifications are advantageous but not required.
